Terms and Conditions

1. Eligibility: Participants must be 16 years or older. Teams must consist of a minimum of 11 (maximum of 15) members, including a drummer. All participants must be water confident.
2. Registration: Teams must register by 23rd May 2025. The registration fee is non-refundable and must be paid in full at the time of registration. Anyone aged 17 years and under must have their entry form signed by a parent/guardian.
3. All participants must submit emergency contact details online (at the point of registration). Sue Ryder may use the Emergency Contact details provided by you to contact your home or office in the event of an emergency.
4. Conduct: Participants are expected to behave responsibly and respectfully towards other competitors, volunteers, and event staff. Unsportsmanlike conduct may result in disqualification. Participants should refrain from smoking during the event or from consuming alcohol during or immediately before the event. Sue Ryder reserves the right to disqualify any participant whose behaviour it deems inappropriate or unsafe. Sue Ryder’s decision shall be final in such matters.
5. Safety: All participants must wear life jackets (provided) during the race and follow all safety instructions given by NewWave Events and safety personnel.
6. Gazebos and other structures can only be erected by Sue Ryder and our partners in the Dragon boat festival village.
7. Sue Ryder reserves the right to alter, postpone or cancel the event where this becomes necessary as a result of circumstances beyond Sue Ryder’s reasonable control (for example flooding or Covid-19 resurgence). Where the event is postponed or cancelled, participants shall be entitled to defer their entry to when the event next takes place or (subject to availability) transfer to an alternative Sue Ryder fundraising event.
8. All participants must satisfy themselves that they are in good health and physically able to participate in the event. Participants take part at their own risk. Sue Ryder accepts no responsibility for any death or personal injury unless caused by Sue Ryder’s negligence. Sue Ryder accepts no liability whatsoever for any damage to any participant’s property.

Publicity and data protection

1. By participating, participants agree to take part in post-event publicity which may include interviews, photography and/or filming for Sue Ryder internal communications, local and/or national media. Sue Ryder reserves the right to use any such photographs or videos in future promotional materials. The promotional materials may include leaflets and posters, web pages, emails/mailings and social media postings.
2. By taking part in the event or attending the event you are deemed to have given your consent to Sue Ryder using your likeness as set out in a. above, unless you notify Sue Ryder of any express objections. In the event that you raise any objections to the use of any image in which you are featured after the event Sue Ryder will remove that image from its website and refrain from any future use of it, but cannot undertake to remove from circulation any printed materials already in use.
3. Sue Ryder will endeavour not to use any photographs, images or likenesses of children aged 16 or under.
4. Please be aware that by registering you authorise Sue Ryder to process your personal and sensitive personal data in accordance with the Data Protection Act 2018 for the purposes of this event only. In future, we may wish to send or contact you with information about our charitable activities and events. Please tick the appropriate boxes during the online registration process to indicate whether you are happy for us to do this. For further information about how we use your data, please refer to our privacy policy.

Financial

1. All participants registering in advance of the event must pay a non-refundable, non-transferable registration fee at the time of entering the event. Details of how to pay will be included online.
2. All fundraising participants are encouraged to set up online fundraising accounts, details of which will be sent to you via email.
3. This event is an exclusive Sue Ryder fundraising event. Sponsorship monies raised may not be given to or shared with any other organisation.
4. Participants are reminded that they have a legal responsibility to ensure that all sponsorship monies and donations received for the event are paid directly to Sue Ryder within six weeks of the date of the event. Cheques are made payable to Sue Ryder.

Dragon Boat Festival rules

1. Boat Composition: Each boat along with Paddles and safety equipment will be provided by NewWave Events.
2. Race Format: Races will be held over 200 metres. The exact format of the heats and finals will be communicated on the day of the event.
3. Start: Teams must be at the start line at their designated time.
4. Finish: The race is completed when the front of the boat crosses the finish line.
