Settle Loop Challenge 2024 Terms and Conditions
Your signature on the entry form or your clicking on the box in the on line entry confirms your acceptance to these terms and conditions of entry
Registration
Every participant must fill in their own registration form unless:
The person completing the form is doing so as the parent or guardian of a participant aged under 18 in which case the parent or guardian must inform the participant that they have signed the terms and conditions on their behalf and that their participation in the event will be governed by these terms.
The person completing the form is doing so as the leader of a family team. It is the duty of the team leader to notify the other team members of these terms and conditions and that the leader has signed them on behalf of their own team. The team leader must further ensure that all team members agree and accept that their participation in the event is governed by these terms and conditions. On the day of the event any members over the age of 18 who have not ticked the box during entry will be asked to sign next to their name to say that they agree to the terms and conditions. Any team member who does not so accept these terms should be withdrawn from the event.
The person completing the form has or reasonably believes that they have the participant’s consent to their doing so on the participant’s behalf. The person completing the form must make each participant aware of these terms and conditions in good time before the event. If the participant does not agree to be bound by these terms and conditions they are to withdraw from the event. On the day of the event any members over the age of 18 who have not ticked the box during entry will be asked to sign next to their name to say that they agree to the terms and conditions.
Age
The Settle Loop is suitable for ages 11 upwards. Any participant under 18 must be must be accompanied by an adult (aged 18 or over) throughout the event. There must be at least one adult (aged 18 or over) for every 5 participants aged 11 or under. Parents must be confident that their child/children has/have a good level of road safety awareness and bike control over bumpy ground. If they are walking or running, parents must be confident their child can complete the challenge.
Anyone under 16 years old must have their entry form signed by a parent/guardian and must abide by the rules. Riders under 16 years old must be accompanied throughout the event by an adult over 18. It is the parent’s/guardian’s responsibility to ensure their children are suitability fit and healthy to take part in the rides and have a good level of road safety awareness and bike control over bumpy ground.
All bike riders must wear a safety helmet.
Refunds
The entry fee for Settle Loop Challenge 2024 is non-transferable and non-refundable. Sue Ryder reserves the right to change the route ahead of the day but if it does it will notify all participants who have signed up by that point of the changes. In addition due to unexpected health and safety reasons on the day, the Settle Loop Challenge 2024 organisers reserve the right to adjust the route to account for unforeseen conditions (for example, flooding). If the event has to be cancelled due to reasons beyond our control such as Covid-19 restrictions, we will endeavour to reschedule the event to a later date for which entries will be valid.
The event start
The organisers retain the right to make a change to the advertised start time.
Publicity and photographs
- By participating, participants agree to take part in pre and post-race publicity which may include interviews, photography and/or filming for Sue Ryder internal communications, local and/or national media and online media. We will also take photographs and/or videos during the event. We may also share images taken by our photographer after the event in case participants want to download them as momentos.
- By signing up to this event participants agree to Sue Ryder and our co-organisers using the images/video referred to above for future promotional materials, unless they notify us of any specific objections. The promotional materials may include leaflets and posters, web pages, emails/mailings and social media postings. Please inform us if you would prefer for us not to share images of yourself or members of your family. In the event that you raise any objections to the use of any image in which you are featured after the event Sue Ryder will remove that image from its website and refrain from any future use of it, but cannot undertake to remove from circulation any printed materials already in use.
- Sue Ryder and our co-organisers will endeavour not to use any photographs, images or likenesses of children aged 16 or under which identify them without express consent from a parent/guardian.
- Where we wish to provide identifying information along with a photo (for example in a press release if you win the event) we will ask the person involved or their parent or guardian for permission to publish the photo with identifying information. If this permission is not provided either in writing or verbally we will not publish the photo.
- Supporters are welcome to take pictures on the day but please ensure that, where the pictures capture images of children, only one's own family members are included.
Contact details
Participants are personally responsible for updating the organisers with any new address and telephone details. All participants must supply emergency contact details and in the case of an emergency, Sue Ryder may use the Emergency Contact details provided by you to contact your home or office.
Health and Fitness
The event is a challenge run, walk or ride that is graded to suit many levels of fitness but some of the hills are steep and, given the time of year and prevailing conditions riders should ensure they are medically fit and well hydrated. All participants should satisfy themselves that they are in good health and physically able to participate in the Settle Loop Challenge and choose a route that suits their ability and fitness. If in doubt, participants should consult a GP or hospital doctor prior to the event. It is recommended that all participants should have appropriate clothing, sun protection and a drinking water bottle.
Risks
Sue Ryder has a comprehensive risk assessment process for each event which aims to minimise or eliminate the risk to everyone taking part. However, by taking part in this event, you acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks.
Dropping out
Any participant who drops out after crossing the starting line must report to an official to prevent any unnecessary search being started. They should also make sure that their tag is handed back to the steward at this point.
Liability
The Settle Loop Challenge 2024 is operated by Sue Ryder, and all participants take part at their own risk. Sue Ryder accepts no responsibility for any loss, injury or damage suffered by any participant personally or to their property as a result of taking part in the Settle Loop Challenge in the absence of negligence or breach of statutory duty on the part of Sue Ryder. Personal accident and public liability insurance cover is advised to cover any loss, damage or injury you may sustain yourself or to your personal property or cause to a third party or their property.
If during the event you are involved in an incident with a third party please ensure that you pass on all your details – it is not the responsibility of the event organisers.
Sponsorship
The Settle Loop Challenge is an exclusive Sue Ryder fundraising event. Sponsorship monies raised may not be given to or shared with any other organisation. Participants are advised that they have a legal responsibility to ensure that all sponsorship monies and donations received for the Settle Loop Challenge are paid to Sue Ryder within 6 weeks of the date of the event.
Smoking and alcohol
Sue Ryder asks that participants and supporters do not smoke during the event. For health and safety reasons, participants may not consume alcohol prior to or during the event.
Photography
Participants and supporters are welcome to take pictures on the day but please ensure that where the pictures captures images of children that only one's own family members are included.
Marshals
The event will be marshalled, however roads will NOT be closed and therefore for your safety and the safety of other participants must abide by AT ALL TIMES the Highway Code and traffic laws and with the instructions of police/marshals around the course, including stopping if necessary.
Participants agree to ride safely with the consideration of others and also declare that their cycle is well maintained and in good working order. They agree also to follow the instructions given by the event officials on the day and abide by the following rules:-
Rules
All cyclists, runners and walkers must abide by the Country Code and Highway Code
Riders must ensure their cycles are suitable for the terrain and are roadworthy
By taking part in this event participants are representing Sue Ryder and are asked to show consideration to other cyclists, road users and pedestrians.
Safety is paramount. All riders must wear helmets (Compulsory)
Your presence at every checkpoint must be recorded
Remember that the event is NOT a race but a personal challenge
Marshals will be situated at points throughout the course and their signals should be observed at all times
Cyclists should be properly equipped to ride in inclement weather
Walkers and Runners should wear appropriate clothing and footwear for the weather and terrain.
Data Protection
Please be aware that by registering you authorise Sue Ryder to process your personal and sensitive personal data in accordance with the Data Protection Act 1998 for the purposes of this event only.
